Who we are

Brain Bloom Education Ltd ("we", "us") provides online tutoring for children. We are the data controller for the personal information described in this notice. What this notice covers

This explains what personal information we collect about you and your child when you use the Brain Bloom parent portal, how we use it, who can see it, and the rights you have. It is written for parents and carers.

What we collect

• About you: your name, email address, and phone number if you give it.
• About your child: their name, year group, the work they submit (such as homework photos), quiz answers and scores, tutor notes and feedback (including voice notes), attendance, progress records, and a chosen avatar.

How we use it

We use this information to run your child's tutoring: to organise classes, set and mark homework, track progress, and let you and the tutor communicate. We also use it to manage your account.

Use of AI

Your child's tutor uses an AI tool from our provider, Anthropic, to help mark homework and draft feedback. A tutor checks and approves everything before you see it, and the AI never makes decisions about your child on its own. Anthropic only processes the work at the moment it is marked, does not use it to train its models, and deletes its short term records after 7 days. If you would rather your child's work was marked without AI, tell us and we will mark it by hand.

Where it is stored

Your information is held on secure services located in the United Kingdom. Our database and uploaded files are kept in UK data centres. Files such as homework photos are private and reachable only by your child's tutor, you, and our staff. They are never placed at a public web address. Emails are sent through our provider, Brevo, whose servers are in the European Union.

Who can see your child's information

Your child's tutor, you (your own child only), and the Brain Bloom staff who run the service. Two providers handle information to do one job each for us: Anthropic, for AI marking, and Brevo, for sending emails. We never sell your information and never use it for advertising.

How long we keep it

We keep your child's information while they are enrolled, and for 12 months after they leave, after which we delete it.

Your rights

You can ask to see, correct, or delete the information we hold, or object to certain uses. To do any of these, contact us at info@brain-bloom.co.uk. If you are unhappy with how we handle your data, you can also complain to the Information Commissioner's Office at ico.org.uk.
